2012 EXHIBITOR CONTRACT for February 18, 2012
VENDOR BOOTH RULES & REGULATIONS
ALL MEMBERS AND PARTICIPANTS OF THE WEDDING EXPO MUST READ AND ABIDE BY
THESE RULES, IF YOU DO NOT FOLLOW THESE RULES OR DISOBEY THEM, YOU WILL BE
PROHIBITED FROM PARTICIPATING IN THE WEDDING EXPO IN 2012.
THE BASICS:
The expo booth/vendor meeting will be at 9:30am.
The expo will begin at 10am.The expo will conclude at 5pm.We will break down AT 5pm, and NOT sooner.
Each booth will receive 2 lanyards/namebadges at the 9:30am meeting. You may order additional lanyards/badges at $10 each.
ALL Exhibitor personnel must wear these official exhibitor lanyards/badges on the day of the show.
Exhibitors must not share lanyards/badges with ANYONE. Exhibitors sharing badges will be asked to leave the show and their booth will be shut down.
Everyone will have 2 chairs and an 8' x 30" table. You will have a choice of white linen or black linen that will drape to the floor. The colors of the expo (not affecting your own personal booth design) will be black, white & a splash of purple.
Each booth will come with TWO box lunches. You will pre-order these lunches on your contract. Please see below for your options and mark them appropriately.
There will be a vendor break room where these lunches can be consumed if you choose to not do it at your booth (and we discourage eating at your booth, as it looks unprofessional).
YOU will be responsible for your own set up to secure any signage and decor. Some booths will have a glass window behind them on which you can place any signage. Each table booth will have 2 feet of space between each other...this is so you can easily access your booth area and you are not to obstruct this opening in any way. You are to keep your booth size to 8'x8' (this boundary space will be marked) even at the table booths.
Couples/Guest attending the expo will be able to purchase drinks and snacks at the venue. There will be NO admission charge into the expo for attendees to this expo.
ALL vendors at the expo must be a member of the Maui Wedding Association (MWA). If you are not a member, you must first purchase an MWA membership before being accepted as an exhibitor.
COMPETITOR SHOW CLAUSE: Maui Wedding ExpoSMreserves the right to exclude businesses from participation within any reader and/or attendee lead source generating programs including those accrued by If Maui Wedding ExpoSM bridal show events. Exclusion from these programs is determined solely by what If Maui Wedding ExpoSMdeems as a “competing” or “rival” production of or sponsor-ship of another bridal show(s).
EVENT DATES AND ATTENDANCE: Exhibitor understands and agrees that Maui Wedding ExpoSM
makes no guarantees regarding weather conditions or attendance at the event. If Maui Wedding ExpoSMis prevented from producing the event herein by reason of any act of God, fire, flood, public disaster, act of terror, or any other cause or reason either within or beyond the control of If Maui Wedding ExpoSMsuch condition shall be deemed a valid excuse for delay or cancellation of the event. If Maui Wedding ExpoSMreserves the right that the event may be rescheduled for another date and/or location chosen by If Maui Wedding ExpoSM
EXHIBIT/BOOTH SPACE:
**Each booth space is provided with an 8’x8’ space, pipe & drapery, 8’x30” table draped with linen, 2 chairs, electrical access, and 2 box lunches.
1. The cost for each table booth (TB) is $350 for an 8’x8’ space area and $450 for an 8’x8’ pipe and draped booth (PDB). The table areas are separated by a 2' opening on each side of your table and NO pipe and drape. You are not to exceed your 8’x8’ area. You can go as high as 8' in height your area. Pipe & Draped booths are exactly 8’x8’ and will have pipe and drape, these booth styles are very limited.
2. You must have adequate staff and coordinate them and your schedule accordingly. This is non-negotiable.
3. There shall be no encroachment on any adjoining booth space unless you have purchased more than one booth adjacent to each other. There are to be No structures over 8 feet in height and nothing towering over your booth curtains. Be courteous to the other exhibitors.
4. All exhibitors must keep within their booth space area; keep aisles clear for traffic. This will be regulated & checked on expo day.
5. Exhibitors may advertise and/or distribute from INSIDE their booth space only. Exhibitors will be permitted to demonstrate products and/or services, solicit orders, and distribute advertising materials (including, but not limited to, signs, literature, samples, or business cards) only from their assigned exhibit space and only for products and/or services which are provided in the exhibitor’s normal operation of business. Distribution or display of advertising materials from non-exhibitors, and distribution of advertising materials in aisles, registration areas, lounges, seating areas, or grounds of show facility is prohibited If Maui Wedding ExpoSMreserves the right, at its sole discretion, to determine if a breach of this clause exists. The only exception is if you are a vendor who has opted to participate and showcase your items in the Hanohano Room/Premiere Room. You may not walk around on expo day and pass out brochures, flyers, etc.
6. Exhibitors MUST not leave their booth unattended at any time. If you need to use the restroom or eat in the break room, it is YOUR responsibility to have a staff replacement for you in your booth.
7. No food or drinks permitted in booth area, unless to be given out as samples or gifts to guests. Food samples MUST NOT contain any alcohol or herbal enhancements. Any exhibitor who is distributing food samples within their booth should follow basic safety guidelines and must have a garbage can within their booth.
8. Individual booth garbage cans are NOT being provided. If you wish to have a trash can in your booth, you will need to provide your own. There WILL be linen covered trash cans around the venue for use by exhibitors and visitors.
7. No nude or explicit photos are allowed to be posted in your booth or elsewhere at this expo. Immediate booth breakdown and exhibitor/vendor removal will occur if you display nude or explicit photos.
8. Pipe & Drape: You may hang lightweight items on the pipe, as long as your posters or banners are LESS THAN 8lbs. You are not allowed to pin, tape, staple, nail, or drill anything into the pipes or fabric draping that is provided for your booth. For booths that are located in front of a glass window, you may tape items to the window. HOWEVER, you are responsible to making sure residue is removed without damage to the glass. For booths in front of a wood wall or door, you are not allowed to affix or lean anything on the wood. It is your responsibility to make sure you have your own structure secured safely to display any signage. You are responsible for any damages done to the venue as a result of your booth loading, unloading, set up, breakdown, and display. And you will pay all replacement costs to the Maui Wedding Association.
9. No breaking down of booth until end of show; 5pm Saturday, February 18, 2012. If any vendor violates this policy, vendor will be fined $100.00. The ONLY exception to this rule is if the expo director gives you direct permission to start an early breakdown.
10. Vendors have the right to display their services to the best of ability, but not to interfere, disrupt or cause a problem for other vendors due to lighting, display space, or loudness of music.
11. Vendors may not remove the existing pipe and drape that sets the boundary for your booth space. All pipe and drape structures are to remain exactly where they are originally placed or stationed upon your arrival.
12. You are only to represent YOUR company (or companies if you are sharing a booth) in your booth. You are NOT to promote or represent or sell for any company outside of yours, nor are you to promote any company outside of the Maui Wedding Association and your booth space. All participants of the If Maui Wedding ExpoSMmust be a valid member of the Maui Wedding Association. Exhibitor may not assign its contracted for exhibit space or permit any other person or company to use any part of such space. Sharing of booths is permitted, but exhibitor must sign up businesses together on the exhibitor sign up form at the time of original booking.
13. Booth sharing IS permitted, but limited to two companies per booth. Both companies must have a valid membership to the Maui Wedding Association.
14. All vendor booths MUST be finished setting up by 9:30am Saturday, February 18, 2012.
15. You will need to provide ALL of your own carts, handtrucks, and assistants to transport your items and set up your booths.
